Enrolment Terms and Conditions

Thank you for choosing STEMLOOK for your child’s learning journey. We look forward to providing an exciting, enriching experience in our term classes and holiday camps.

By enrolling your child, you agree to the following Enrolment Terms and Conditions.

HOLIDAY CAMPS

  • Face-to-face camps run daily from 9:00 AM to 3:30 PM, with drop-off from 8:30 AM and pick-up until 4:00 PM.
  • Online camps may vary in schedule — please refer to your enrolment confirmation.
  • Sign-in and sign-out is mandatory each day.
  • Late pick-ups incur a fee of $20, plus $10 for every 5 minutes after 4:00 PM, payable upon collection.

TERM CLASSES

  • The duration of our term classes/workshops/online webinars is 1 hour (unless other specified in your enrolment).
  • Sign-in and sign-out is required at every class.
  • Late pick-ups incur the same late fee policy as holiday camps: $20, plus $10 per 5 minutes after end time, payable upon pickup.

LAPTOPS & DEVICES

  • STEMLOOK provides class laptops and/or tablets for use during sessions at our premises.
  • Students may bring their own devices. Please note we do not support Mac or Chromebook devices for robotics classes.
  • For online classes, participants must use their own device.

EQUIPMENT RENTAL (TERM & HOLIDAY CAMPS)

  • All equipment (laptops, robots, mice, etc.) is provided in good working condition.
  • Participants are expected to handle equipment responsibly.
  • Any damage caused during the rental period will be assessed, and families may be invoiced for repair or replacement costs.

LEARNING MANAGEMENT SYSTEM

Access to the LMS is provided temporarily during active enrolment and may be revoked after the term ends.

HEALTH & SAFETY

  • We maintain a safe learning environment that complies with Work Health and Safety (WHS) standards.
  • Students must stay home if unwell.
  • Please ensure your child brings: snack & water bottle (plus lunch for holiday camps) and sunscreen & hat for outdoor activities (camps only).
  • Parents/guardians must supervise children during online classes and ensure a safe working environment, including any required PPE.

If your child has a medical condition or allergies:

  • Provide full details in writing.
  • Submit a photo and ASCIA Action Plan for moderate/severe cases.

We are not responsible for loss/damage of personal property brought to class.

PERMISSION TO WALK

If you do not sign the Permission to Walk form, your child will remain in the classroom under our supervision.

ABSENCE

If you know your child is going to be absent for any reason, please notify us via phone or email.

RESPECTFUL BEHAVIOR

We foster a safe and inclusive environment. Disrespectful behaviour or bullying will not be tolerated.

  • In cases of serious misconduct, we reserve the right to terminate participation without refund.

PHOTOS and VIDEOS

Photos/videos may be taken during sessions for promotional and educational purposes (website, social media, blogs, etc.).

  • If you do not consent, please inform us in writing prior to the start of the class or camp.

PAYMENTS

  • Enrolments are not confirmed until full payment is received.
  • We cannot guarantee a place without payment.
  • If you need a payment extension, contact us at info@stemlook.com.au.
  • Private 1-on-1 sessions are only available to students enrolled in group classes.
  • Promotional offers and earlybird discounts: apply to group term classes only and do not apply to holiday camps, semi-private or 1-on-1 classes

REFUNDS

STEMLOOK will issue a full refund for the tuition fee (defined as the total amount paid excluding the cost of the robotics kit) only under the following circumstance:

  • The student is unable to attend 50% or more of the remaining classes in the term due to a medical condition, supported by a valid medical certificate.

In the event of an approved refund under the condition above, a refund handling fee of $30 will be deducted from the total refundable amount to cover administrative processing.

Please note the following:

  • No refunds will be issued in cases of change of mind, personal schedule changes, or non-attendance.
  • The cost of the robotics kit is non-refundable once it has been opened, used, or taken home by the student.
  • STEMLOOK reserves the right to consider exceptional cases at its sole discretion; however, the $30 handling fee applies to all approved refunds.

Missing, Faulty, or Damaged Parts

If your new robotics kit is missing components or contains faulty parts, STEMLOOK will provide replacement parts free of charge within 14 days of the date of purchase. To be eligible:

  • Proof of purchase must be provided.
  • A clear description or photo of the issue must be emailed to info@stemlook.com.au
  • The kit must not have been tampered with beyond normal student use.

If the robotics kit or any included parts are damaged during shipping, STEMLOOK will take full responsibility and arrange a replacement or repair of the damaged parts at no cost. Please notify us within 7 days of receiving the kit, with supporting photos and purchase details.

Refunds and Returns of Robotics Kits

  • Refunds are available only for kits that remain unopened and unused, and are returned in original, sellable condition.
  • Clients must request a return within 7 days of purchase.
  • All approved refunds will be subject to a $30 handling and administration fee (as per our general refund policy).
  • Return postage is the responsibility of the customer unless the return is due to STEMLOOK’s error.

Non-Refundable Items:

  • Robotics kits that have been opened, used, or damaged after delivery are not eligible for return or refund, except where required under Australian Consumer Law.
  • Kits included as part of trial classes or short-term workshops are generally non-refundable once issued to the student.

CANCELLATION OF CLASSES

We reserve the right to cancel the classes at any time. Should this occurs, we will provide adequate notice and provide a full refund.

GIFT CARDS

  • Our gift cards are valid for 3 years from the date of purchase.
  • Gift cards cannot be redeemed for cash.
  • We do not offer any refund for gift cards under any circumstances.

UPDATES TO ENROLMENT TERMS AND CONDITIONS

We reserve the right to update and change the Enrolment Terms and Conditions. The changes become effective immediately after publishing them on our website.
